Temporary Support Employee for Contract and Event Team in Den Haag

About the job

Coordinate and support agreed professional development workshop events, symposiums, programmes and annual conference including event vision, implementation, onsite execution and reconciliation.
- Support theContract and Event Manager with event driven projects and initiatives.
- Support event tendering process
- Monitor and support current contracts
- Budget tenders against overall budget and ensure timely signature of contracts
- Manage financial deposits to suppliers
- Collect relevant data on venues used to facilitate and input data into database
- Develop relationships with appropriate suppliers to enhance service quality and pricing
- Support annual conference planning, development and on-site management
Implementation of the Travel Management online booking tool for all staff and non-staff travellers and on-going development of processes and procedures (linked to finance and is expected to run through the first half of the year).
- Manage relationship between Travel Management regional office and Global travel and event manager
- Support Travel Management process management assisting staff, educators and others in centralizing all booking arrangements including specialized meetings and/or events via the Travel Management System
- Development and implementation of the booking process for staff and non-staff
and non-staff
- Ensure end to end processes, Document development , interim solution for start of service
- New travel policy communication and responding to questions at local level
- Provide Input to development of the tool at local level
- Support travel policy regulations and approvals via Travel Management specifically for out of policy itineraries
- Continue to support Document system administration and process management linked to travel and events
- Support finance/accounting administration linked to Travel Management
- Support budget management.

This role will be full time 40 hours per week and will primarily be responsible for providing implementation support and assistance with the on-going development of processes and procedures specifically linked to finance/accounting and administration. He/she will liaise with the rest of the Contract and Event team to ensure deadlines are met and the professional development events offered by the organization meet the demands and offers consistent pricing and quality. The ideal candidate will have excellent IT skills and financial skills.
